• Exhibitor registrations are subject to a FULL refund up until July 15, 2026
• Exhibitor Registrations cancelled between July 15, 2026 and September 1, 2026, are subject to a processing fee of $150.00
• Exhibitor Registrations cancelled after September 1, 2026, are due in full and WILL NOT be refunded due to the deadline for food & beverage orders
• After the deadlines, in cases of emergency, refund requests will be considered on a case-by-case basis. These requests must be made in writing by emailing patconference@parentsasteachers.org **Requests cannot be made over the telephone
• Allow four weeks to process cancellations and refunds for emergency requests. Allcancellations and refunds will be processed after October 13, 2026
• All cancellation or substitution requests must be submitted in writing via email to patconference@parentsasteachers.org and accountsreceivable@parentsasteachers.org. 
• Cancellation of an exhibitor registration DOES NOT constitute a cancellation of your hotel room (Please be sure to handle both separately)

All exhibitors are responsible for:

• Travel expenses, parking, food/beverage, incidentals, labor costs, shipping costs, electricity and internet, A/V needs, and any booth enhancements
• Adequate staffing during exhibition hours - please make arrangements for food and restroom breaks during slow traffic times

Additional Notes:

• All exhibitors will receive a link to the Exhibitor Service Kit in August 2026, which includes information about the onsite service contractor, drayage labor, custom cleaning, and other services
• Please notify the conference planning team of any special needs for your booth space
